How to Print Out Group Email Lists

    • 1). Sort the entire list of your group's email addresses in alphabetical order from the program it's in, such as Microsoft Access or Excel (this is optional). Select the entire column of email addresses and press CTRL + C to copy the list to your clipboard.

    • 2). Start a new document in Microsoft Word. Click "Paste" on the menu toolbar and select "Paste Special." When the dialog box comes up, choose the option to paste the emails in as "Unformatted Text." This will give you a multipage document full of email addresses, with each address on its own line.

    • 3). Press CTRL + A on the Word main menu, which will select all of the emails in your list.

    • 4). Click "Page Layout," then adjust the spacing on the "Paragraph" menu so that the "After" column reads 15 points. This will give you room to write messages under each email address after the list is printed.

    • 5). Click the arrow under "Columns" on the "Page Layout" menu. Select two columns from the drop-down list. This will create two columns of addresses, still in alphabetical order, and cut the number of pages that you have to print in half.

    • 6). Click "Print," then "Print Preview" on the file menu to make sure that each email fits comfortably on each line. If not, reduce the size of the font.

    • 7). Print the list of addresses.
