If you are not an expert in event planning but have strong organizational skills, planning for a baby shower would not be so difficult as long as you set and follow some time requirements in the whole process.
As soon as you have learned about the baby and hosting the baby shower, you should start planning.
Here is a framework for you to help you get started.
8 weeks before.
By this time, you should have an applicable plan of the baby shower to have the invitations sent.
The date, time, location, duration, theme, guest list, and budget plan for the shower should be finalized so you can prepare the invitations.
In your budget plan, food and beverages, game prizes, invitations, party kits, should have been included.
Moreover, the budget plan should consider the guest list, the theme, and the contributions you can get.
As soon as you have settled all the plans, you should start preparing the invitations.
6 weeks before.
You are given two weeks to prepare the invitations to be sent through snail mail or e-mail.
Therefore, by this time, you should have started mailing out the invitations, which should have included the date, time, location, and directions to the baby shower.
Give them 2-4 weeks to respond to the invitations and include your contact information in the RSVP.
If you have special instructions regarding the party plan, you should also include it there.
Once you have sent all invitations, you should start planning for all your needs on the day of the baby shower such as the menu and the items you need for dining, games, and other party needs.
4 weeks before.
You should have received responses by now.
In addition to that, your plans for the decorations and games are already straightened out and ready for purchase.
Once that is settled, you should make all the necessary calls to the services and reservations you will need for the party such as baby shower cakes and diaper cakes, catering services, hotel or restaurant reservations, entertainment, photographers and baby sitters just in case.
2 weeks before.
Everyone invited should have responded by this time.
Call those whom you have not heard from.
Base on the confirmed list of guests, prepare all the things the guests will have for the party such as baby shower favors, game accessories, game prizes, and name tags.
All the decorations should have been purchased or made and are ready to use.
You should have wrapped the separate gift for the expectant mother if you plan to give one.
1 week before.
For baby showers held in a home, a general cleaning of the house and the food equipments should be done.
All the plates, utensils, serving trays, and other things involved in serving the food, and all the linen and cloth for the party should have been washed and ready to use.
Moreover, a plan for room management must have been completed.
You could start purchasing food items that can be frozen by now.
2 days before.
By this time, you are done with all the planning and should only be purchasing and shopping the goods, you need for the party such as the food, beverages, and grocery items.
After shopping, review your plan regarding the flow of the party and make any necessary calls to those involved in the preparations such as reminding those bringing food and those whom you have designated to do a certain function.
1 day before.
You may now be very excited for tomorrow is the big day.
On this day, you should have prepared the baby shower room with all the chairs, tables, and decorations all in place.
Most of the food preparation should have been completed as well as all the fresh purchases such as flowers and baby shower cakes should have been picked up or delivered.
The room should be ready for the baby shower by now.
Baby Shower Day.
The expectant mother should be first checked to make sure she would be all right for the day.
The food and beverages should be prepared a few hours before the guests arrive.
When guests arrive, you could usher or have a designated person to do that making sure that each guest who confirmed are present before you start the party.
Once the baby shower starts, the plan should have worked well and you should be well prepared enough to host the party!
